About eBike
eBike is an internet based insurance. Please note that our primary method of communication with all of our customers is via email. Any changes or adjustments to your policy must be made by yourself online by accessing your account and cannot be completed for you by a member of our helpdesk. The emphasis on the administration of the policy will be placed on yourself.
The Capacity in Which we are Acting
We act as your agent when sourcing a suitable policy, placing the insurance and in the event of a claim, unless the insurance is arranged under a delegated binding authority where we act as an agent of the insurer when placing the insurance.
Disclosure Of Information
eBike expect you to provide complete and accurate information when you take out your insurance policy, throughout the lifetime of the policy and when you renew your insurance. If you are unsure about disclosing any information please contact us for guidance.
Failure to disclose any material information or inaccuracies in the information given could invalidate your insurance cover and mean that part or all of your claim may not be paid.
Always keep copies of correspondence sent or received concerning your insurance.
You are reminded that it is an offence under the Road Traffic Act to make any false statements or withhold any relevant information to obtain a certificate of motor insurance.
Statement Of Information
When a policy is taken out we will send you a Statement of Information which shows the information you have supplied to obtain insurance cover. Please read this carefully as the answers detailed on this statement are your responsibility. If you make any changes to your policy, or add additional information we will send you a copy of the changes.
Policy and Administration Charges
We reserve the right to amend the level of the following charges at any time. You should also note that we will not be responsible for any fines or costs that you incur relating from late delivery of, or incorrect information on, any document relating to your insurance.
In addition to the premium, charges are made to cover the administration of your insurance. These are as follows:
- Pay As You Go premiums are subject to a £6 a month administration charge.
- Annual Policies: If we arrange an instalment plan for you a non-refundable administration charge of £25 will apply.
- Mid Term Changes to your policy will be subject to a £15 administration charge if the Additional Premium is over £20 or the Return Premium is over £25.
- Refunds of less than £10 will not be allowed.
- On cancellation of your annual policy when we receive your original Certificate of Insurance you will be entitled to a refund on a pro rata basis for the period of insurance still remaining subject to you not having made a claim or a claim having been made against you during the period of cover. This will be less a cancellation charge of £75 and any non-disclosure fees incurred.
- On cancellation of your Standard policy due to non receipt of copy driving licence and/or proof of NCD (No Claims Discount) on receipt of your original Certificate of Insurance you will be entitled to a refund on a pro rata basis for the period of insurance still remaining subject to you not having made a claim or a claim having been made against you during the period of cover. This will be less a cancellation charge of £75 and any non-disclosure fees incurred.
- If you have a classic motorcycle policy and you cancel your policy having gone on cover, no refund of premium will be allowed.
- We will charge £25 administration fee for the creation and release of duplicate documents and non standard letters.
The eBike instalment plan will be arranged by Panacea Finance Ltd, and provided by one of a panel of finance providers.

Legal Expenses (if applicable)
There is a charge of £17.70 included in all comprehensive premiums and £47.50 on all non-comprehensive premiums (both subject to Insurance Premium Tax if applicable) for Legal Expenses cover underwritten by AmTrust Europe Limited.
Breakdown Assistance (if applicable)
There is a charge of £38 (subject to Insurance Premium Tax if applicable) included in all comprehensive premiums for breakdown assistance cover underwritten by Europ Assistance Insurance Limited.
Data Protection Act
For Data Protection Act purposes, eBike and Southern Rock Insurance Company Limited will hold and process your personal data for insurance administration and for the marketing of our own and other insurance related products. For these purposes, the information may also be passed to selected Third Parties and reinsurers. All personal data supplied must be accurate and you must have the specific consent of those other persons insured to disclose their personal data. Under the Data Protection Act, 1998 you have rights of access to any personal information we hold about you in our records. Motor Insurance Database
Information relating to your insurance policy will be added to the Motor Insurance Database ("MID") managed by the Motor Insurers Bureau ("MIB"). MID and the data stored on it may be used by certain statutory and/or authorised bodies including the Police, the DVLA , the DVLNI, the Insurance Fraud Bureau and other bodies permitted by law for purposes not limited to but including:
- Electronic Licensing
- Continuous Insurance Enforcement
- Law enforcement (prevention, detection, apprehension and or prosecution of offenders)
- The provision of government services and/or services aimed at reducing the level and incidence of uninsured driving
If you are involved in a road traffic accident (either in the UK, the EEA or certain other territories), insurers and/or the MIB may search the MID to obtain relevant information.
Persons (including his or her appointed representatives) pursuing a claim in respect of a road traffic accident (including citizens of other countries) may also obtain relevant information which is held on the MID.
It is vital that the MID holds your correct registration number. If it is incorrectly shown on the MID you are at risk of having your vehicle seized by the Police. You can check that your correct registration number details are shown on the MID at www.askmid.com
Claims and Underwriting Exchange Register
eBike will pass information to the Claims and Underwriting Exchange Register which is run by Insurance Database Services Limited (IDS Ltd), and the Motor Insurance Anti-Fraud and Theft Register, run by the Association of British Insurers (ABI). The aim is to help us to check information provided and also prevent fraudulent claims. When dealing with your request for insurance these registers maybe searched. If we identify discrepancies and/or non-disclosures upon the aforementioned registers which do not correspond to the information you have provided online when you purchased your policy, we will apply the correct additional premium. Where we apply the correct additional premium, a 20% non-disclosure administration fee is payable, subject to a minimum fee of £35.
Under the conditions of your policy, you must inform us of any incident (such as an accident or a theft) which may or may not give rise to a claim. When you inform us of an incident, we will pass the information relating to it to the registers.
Please note that you must report all incidents to us within 48 hours, even if you are not claiming. Failure to do so will make you personally liable for any claims that are pursued against you.
Cover
The eBike policy wording is available to read and download online. This should be read to ensure that the cover being provided to you is the cover you need. The cover we will issue for you will be based on the answers you have provided to the online quotation system. It is your responsibility to provide accurate information to eBike when you take out, change or renew your insurance policy. If you make any changes to your policy during the period of cover you may be subject to revised policy terms and conditions.
Please note - it is your responsibility to ensure that you are in possession of a valid cover note or certificate of insurance before you use a motorcycle on the public highway. If your existing cover has expired, no cover will exist until a replacement cover note or certificate has been issued.
Once you have purchased your motorcycle insurance cover online you will be sent an email confirming cover details. We recommend you keep copies of all communications from eBike for your records. You will receive your Certificate, Policy Schedule and Statement of Information by post.
Policy Extensions purchased/offered throughout the life of a policy will be administered by E Insurance Services Limited.
Cancellation of Insurance Policies
(i) Where cancellation rights exist
If you are an individual or sole trader (including a partnership in England and Wales) buying a policy which provides cover for you in both a private and business capacity, you have the right to cancel your policy during a period of 14 days either from the day of purchase of the contract or the day on which you receive your policy documentation, whichever is the later. If you exercise this right and the cover has not yet commenced, you will be entitled to a full refund of the premium paid. If the insurance has commenced, you will be entitled to a refund of the premium paid, provided that you have not made a claim, or a claim having been made against you and subject to a deduction for the time you have been on cover and a deduction for our costs attributed in concluding your policy, administering your contract up until the effective cancellation date and processing the cancellation.
To cancel a policy log onto www.ebikeinsurance.co.uk and select the Make A Change To Your Policy option and click on the Cancel Policy option. Your Legal Expenses policy maybe cancelled at any time but the premium is non-refundable.
(ii) When cancellation rights do not exist
Standard Bike product
These insurance policies are arranged for a period of 12 months and you are required to pay the full amount stated. If the insurance is cancelled before the expiry date, other than in accordance with (i) and there have been no claims, you will be refunded a pro rata amount less a £75 cancellation fee. We will not refund any premium if you have made a claim or if one has been made against you during the period of cover. The cost of add-on products that you purchase will be non-refundable (other than in accordance with (i) above). If there are any unpaid monies when the policy is cancelled, we may withhold documents such as no claims discount to which you are entitled, until full payment is made. If you paid the premium by instalments the credit charges made by the premium finance provider will not be refunded.
Classic Bike product
These insurance policies are arranged for a period of 12 months and you are required to pay the full amount stated. If you have a classic motorcycle policy and you cancel your policy having gone on cover, no refund of premium will be allowed. The cost of add-on products that you purchase will be non-refundable (other than in accordance with (i) above). If there are any unpaid monies when the policy is cancelled, we may withhold documents to which you are entitled, until full payment is made. If you paid the premium by instalments the credit charges made by the premium finance provider will not be refunded.
Pay As You Go product
Pay As You Go policies are issued on a monthly basis. If you cancel the insurance before expiry date, other than in accordance with (i) above, there will be no refund of premium. The cost of add-on products that you purchase will be non-refundable (other than in accordance with (i) above). If there are any unpaid monies when the policy is cancelled, we may withhold documents such as no claims discount to which you are entitled, until full payment is made.
No Claims Discount
Please note that if you have taken out your policy on the basis of having earned any level of No Claims Discount (NCD) we require written proof to be sent to us within 14 days of the inception date of your policy.We would prefer that you scan your written proof of No Claims Discount and email it to us at ncd@egroupltd.co.uk. Alternatively you can send it to us by post and we would recommend sending it by recorded delivery.
If when you provide your proof of NCD to us we identify discrepancies and/or non-disclosures which do not correspond to the information you have provided online when you purchased your policy, we will apply the correct additional premium. Where we apply the correct additional premium, a 20% non-disclosure administration fee is payable, subject to a minimum fee of £35.
Failure to provide us with valid proof of NCD will result in your policy being cancelled by us.
You will be entitled to a refund of the premium paid on receipt of your original Certificate of Insurance subject to the deduction of the appropriate non-disclosure fees together with a £75 administration charge for the costs incurred by us in concluding and issuing the policy and a deduction for the period of cover you have had. We will not refund any premium if you have made a claim or if one has been made against you during the period of cover.
We will only accept the No Claims Discount you input provided that it is;
- Previously earned on a motorcycle only
- Less than 2 years old and must be in policy holders name
- Earned within the European Union (provided in English by a sworn translator)
- All No Claims Discount must be in years not a percentage
- Not being used on another policy as No Claims Discount can only be used on one policy at a time
Anything outside these criteria will not be accepted.
Driving Licence
Please note that this insurance is subject to you providing us with a copy of the Driving Licence for all drivers on this policy. Required is a copy of the Counterpart Driving Licence and the Front and Rear of your Driving Licence Photo Card.
Failure to provide us with both parts of the Driving Licence for all drivers on the policy within 23 days of the start date of the policy will result in your policy being cancelled.
If when you provide your Driving Licence to us we identify discrepancies and/or non-disclosures which do not correspond to the information you have provided online when you purchased your policy, we will apply the correct additional premium. Where we apply the correct additional premium, a 20% non-disclosure administration fee is payable, subject to a minimum fee of £35.
If your policy is cancelled you will be entitled to a refund of the premium paid on receipt of your original Certificate of Insurance subject to the deduction of the appropriate non-disclosure fees together with a £75 administration charge for the costs incurred by us in concluding and issuing the policy and a deduction for the period of cover you have had. We will not refund any premium if you have made a claim or if one has been made against you during the period of cover.
We would prefer that you scan the copies of your licence and email them to us at licence@ebikeinsurance.co.uk. Alternatively you can send them to us by post and we would recommend sending them by recorded delivery..
As we only request that customers send copies of their Driving Licence, we are not responsible for the loss or non return of the original Driving Licence
Payment of Premiums and Refunds
Standard Policy: Unless otherwise agreed and formalised by a premium instalment plan, all premiums are due on the day cover is arranged, the date the policy is due for renewal or the date of any mid-term adjustment.
If we arrange an instalment plan for you a non-refundable administration charge of £25 will apply. You will be responsible for paying the instalments as they fall due. In the event of payment not being made, you will be sent a 7-day cancellation letter by recorded delivery. Policy cover will cease from the date advised in this letter. Any refund due, after deduction of the cancellation charge, will be used against any outstanding balance on your instalment plan.
The eCourier Bike instalment plan will be arranged by Panacea Finance Ltd, and provided by one of a panel of finance providers.
In most cases all refunded premiums will be refunded via Cheque. In some cases, we may refund back to the card on which you used to make a payment on the policy. If you have any concerns over either of these refund methods then please contact us prior to making any changes to your policy. Please note that the choice of whether to refund by card or cheque is at our discretion.
Refunds made to card will appear in your account between 3-5 working days depending on your banking provider.

Pay As You Go premiums are non-refundable.
Quotations
Quotations offered by the eBike on-line website are valid for 14 days. You will be issued with a quote reference number, which in combination with your e-mail address will allow you to retrieve any stored quote. eBike has the right to decline your risk or increase the premium payable if any errors or omissions are found in the Statement of Information.
Our Remuneration
If you are regarded as a commercial customer (your policy has been purchased for your trade or profession) you are entitled, at any time, to request information regarding any commission which we may have received as a result of placing your insurance business.
Governing Law
Unless we agree otherwise, this insurance will be governed by English Law. We have the right to refuse if you request a different law.

If we are unable to meet our liability under this policy you may be entitled to compensation from the Financial Services Compensation Scheme (FSCS).
